SETTINGS allows studio management to customize TRF app. Seven settings tabs organize the options intuitively.
The FORM Tab
To access these settings, tap the three-line menu icon in the top right of the welcome screen, tap SETTINGS, and enter the Master Passcode (default is 1234). Note: Artist passcodes will not grant access to the main Settings menu.
Once inside, tap the FORM tab at the top.
Here is the exact breakdown of how to customize your waiver flow:
Welcome Message
Set the tone before the client even starts typing. This setting triggers a customizable pop-up as soon as a client begins their session. Use it to include mandated health warnings, flash sale info, or a solid welcome to the shop.
To configure: Toggle Show Welcome Message to gold.
Tap Add Welcome Message and type in your text (or paste it from another app on your iPad). Tap DONE.
Set Automatic Emailer
(Note: This is an active subscription feature)
Some health departments require clients to leave with a physical copy of their waiver or specific healing instructions. Instead of burning through printer ink and stacking paper waste, TRF’s Automatic Emailer handles it digitally.
To set it up:
Tap to configure under SET AUTOMATIC EMAILER.
Toggle on Enable Automatic Emailer.
Toggle on Email waiver to client if you want them to get a PDF copy of their signed release form.
Tap Add email subject text to write your subject line (e.g., “Your Tattoo Waiver & Healing Instructions”).
Tap Add email body text to drop in a quick thank-you note and links to your social media or review pages.
Tap SAVE.
Pro Tip: Enabling the Automatic Emailer permanently toggles on the "Require client email address" setting, as the app needs an endpoint to send the documents.
Form Requirements
This section is your primary checklist for the client intake flow. Slide toggles to gold to make a field mandatory.
Show optional client notes: Adds a prompt in the BIO section asking, “What would you like to tell us?” This gives clients a space to mention anything that makes them more comfortable. Whatever they type prints directly onto their final PDF waiver.
Require client email address: Forces the client to input an email. (Automatically enabled if you use the Automatic Emailer).
Show Health Questions: Requires the client to answer a standard block of health and medical history questions. We highly recommend keeping this turned on to bulletproof your legal coverage.
Request gender: Optional field for the client.
Request pronouns: Optional field for the client.
Require age: Forces the client to hand-type their age and use the date-picker for their birthday. It’s redundant, but many health departments demand both data points.
Require photos of both sides of Gov't ID: Essential for regions where critical data (like barcodes or endorsements) sits on the back of the card. TRF will prompt the client to snap photos of both the front and back of their ID. Both ID images will land on the final PDF waiver in your cloud.
Capture photo of ID: By default, TRF requires an ID photo. However, in places like the UK, taking photos of an ID is not standard practice (or clients simply don't carry them). Toggle this off to skip the camera prompt entirely and push the client straight to the BIO text fields.
Add Questions for Clients
Got a hyper-specific question that isn't covered in the standard health block? Add it here.
Tap Manage Questions.
Type your prompt (e.g., "How many tattoos do you have?" or "Do you like sweet or savory snacks?").
Choose the Question Type: Select Text for a written answer, or Number for a keypad input.
Tap + ADD QUESTION and hit DONE.
Additional Form Settings
This is where TRF flexes for strict state laws. If you are required to present clients with specific documentation (like Illinois’ mandated tattoo explanation forms) or if you want to attach custom shop aftercare, you can upload PDFs directly into the app.
Tap Tap to configure.
Toggle on Enable the Additional Form Feature.
Tap Additional form uploaded - Tap to change to pull a PDF from your iPad files or connected cloud. (You will get a green "SUCCESS!" checkmark when attached).
Append the additional form PDF to the end of the waiver: Toggle this on to permanently 'staple' the PDF to the back of the client's final waiver in your cloud storage. Perfect for proving to health inspectors that you provided the required docs.
Require clients to read the additional form while completing their waiver: Toggle this on to require the client to physically view the document on the iPad before they can sign. This eliminates the excuse of "I didn't see that," and you can easily prove to your health department that clients did see the mandated documentation.
Lock It In
When you are done customizing the FORM tab, tap the yellow SAVE & VERIFY button in the bottom-left corner. The app will update and kick you back to the Welcome Screen.
